Who we are
We are the Hidden Valley Homeowners Association of Tucson. Our neighborhood is in the Catalina Foothills of Southern Arizona. We are a voluntary HOA of neighbors interested in preserving and enjoying our wonderful living environment.

Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Cookies
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.
Membership
When a person or family submits an application for membership, that data is stored in our membership database and elements of that information may also be stored in our accounting systems and in our website’s mailing lists, so that we can notify members of new information or events.
Data we collect on members: On membership forms, we require name, site address in Hidden Valley, email and phone number, as well as each household’s preference about publication of this data. We also track the yearly membership status by address, and the owner address information for the property as reported in publicly available property data.
Site address is used to confirm which property in the Hidden Valley neighborhood a person is associated to. As a homeowners assocation, we allow only one membership per property. Name and owner address information are used to confirm homeowner status. Site Address, Owner Address, Email and Phone Number are used to communicate to members. Email is our most frequent method of direct contact at present.
Data do we NOT collect: We do not collect or store credit card information, birth dates or age, social security numbers, bank information (other than as available on checks or credit card receipts), credit ratings, employment information, legal history, or relationships beyond living at a certain address.
Data collected by others for our purposes: We use Square (https://squareup.com/) for payments processing. The information communicated from Square to us is your name, your email, the last 4 digits of your credit card used and the items and amounts you have purchased from us.
Embedded content from other websites
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.
Who we share your data with
Members of our Board of Directors, our printers and our support volunteers may be given temporary access to names and addresses for use in carrying out Board activities and/or services. Name, address, phone number(s) and email address(es) will be distributed to members in our published roster except for name, site, phone numbers or email addresses when these are noted as “Unlisted”.
If you request a password reset, your IP address will be included in the reset email.
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register as association members, we also store the personal information they provide in their membership application. All members can request an update to their personal information at any time by submitting a new membership application. Website administrators can also see and edit that information.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, financial or security purposes.
Where your data is sent
Visitor comments may be checked through an automated spam detection service related to our web hosting environment. We do not otherwise report information to other parties. On a bi-annual basis, we publish a printed roster of member information. Members can at any time go online to our website or contact us by email or phone to change their information or control what will get published in the next print run of the roster. We do require 30 days to implement a change, as printing processes may already be in progress when notice is received and changes cannot be made to what has already been sent to the printer.
We are currently developing a system to allow members to see their personal information online, and to look up other members’ site address, phone and email by name, by site address or by map position. Information on non-member properties will be limited to such as is already public data.
